Brand voice guide

How Summit Hospitality sounds and looks, written from your answers to the brand voice questions, for Instagram, the website, Google, emails, texts and anything written with ChatGPT.

From Kelvin's and Kirsty's answers All 17 differences settled
1Who Summit Hospitality is

Summit Hospitality is a locally operated, fully insured cleaning company in Whistler that sees itself as a partner in property management: vacation rental cleaning is the heart of the business, residential and commercial cleaning are growing alongside it, and the brand is known for excellent customer service, communication and transparency.

The story. Founded in 1996, bought from the original owner in 2025, and rebranded and refreshed since. Over 300 clients across Whistler Village, Creekside, Upper Village and the Benchlands, from property owners and managers to businesses and commercial stratas. Kelvin: "We focus on the relationships with these people first, understanding the lifetime value any one client represents and the trust they place with a cleaning contractor for the long term."

The name. Hospitality, not just cleaning. The standard is a hotel's: hotel-quality linen, a 35-point inspection, and a property that is guest-ready rather than simply clean.

What sets you apart. How easy Summit is to deal with. The inbox and phone lines are covered 7 days a week and you always respond promptly (Kelvin); the communication clients receive, the customer service, and modern technology that keeps the service consistent (Kirsty). Behind it: a written checklist and a 35-point inspection by both the cleaner and an inspector, a professional linen exchange so nothing is washed in the unit, and damage or maintenance reported as you find it.

The services. Vacation rental cleaning (departure cleans, same-day turnovers, mid-stay cleans, linen exchange, guest amenities and arrival setup, damage and maintenance reports). Residential cleaning (weekly, bi-weekly and one-off cleans, deep cleans, pre-arrival cleans for second homes). Commercial cleaning: recurring cleaning for businesses, offices and customer-facing spaces on flexible schedules (Kirsty), and interior post-construction cleaning (Kelvin).

The goal. Grow recurring residential and commercial contracts, and be "the go-to choice for quality cleaning across Whistler" (Kirsty). Vacation rental cleaning keeps growing on its own, by word of mouth.

Show what you do

Kirsty: "it should be clear what we do". The words and the pictures should make it obvious at a glance that Summit is the team doing the cleaning, so nobody mistakes it for a property management company.

2Who we are talking to
WhoFrom your answers
Most important in the next yearSecond-home owners who are often away (you both). Then strata buildings, lodges and commercial businesses (Kelvin) and property management companies (Kirsty).
The favourite customerKelvin: a second-home owner who wants regular home cleaning and values the service over the price, and a property manager who brings a group of properties through one relationship. Kirsty: a property manager with a portfolio of high-quality properties who communicates clearly, gives constructive feedback, has realistic standards and, once the relationship is established, connects Summit with other opportunities.
How a post should leave themReassured it will be handled properly, and reminded it's time to book (you both picked the same two).
What they tell a friendSummit made everything easy, is straightforward to communicate with, trustworthy and consistent, listens and adapts, and did what it said it would. Kelvin: "Will definitely be hiring them again." Kirsty: they "feel like they don't have to worry about their property while they're away."

The worries to answer, in posts, the website, the FAQs and replies:

They worryWhat answers it
The clean won't be up to standard (you both)The written checklist and the 35-point inspection by the cleaner and an inspector. Show the detail work: tight bed corners, a hand checking a counter, a mirror without a streak.
Not knowing what's included (Kelvin)The estimator prices every extra on screen, and the quote lists what is included. Say it plainly: "Real price. No surprises."
Nobody turns up, or not in time for the next guest (Kirsty)The branded vans and the uniformed team, guest-readiness updates straight to the inbox, and a phone that is answered 7 days a week.
Guest damage not reported, or not in time before the next guest (Kirsty)Damage, maintenance and safety issues reported as you find them, with local trades coordinated.
3We are, we are not

You each picked five. Four are the same, so those lead:

Friendlynot overfamiliar

You both. Kelvin: "Our voice needs to be friendly and down to earth."

Premiumnot pretentious

You both. Kirsty: "We are still a premium service."

Localnot small-time

You both. A Whistler business with the systems and the standards of a much bigger one.

Proud of Whistlernot ski-town cliché

You both. Real neighbourhoods, local events and the seasons as they are, not postcard clichés.

Hospitablenot salesy

Kelvin. Helpful first; never a hard sell.

Confidentnot cocky

Kirsty. "We don't get flustered, we handle emergencies calmly, we know what to do when there's a problem."

Ambitiousnot greedy

Kirsty, in her own words.

Words
You both pickedguest-ready, reliable, local
Kelvin also pickedteam, hospitality, on time, sorted
Kirsty also pickedhonest, spotless, and her own: quality, friendly, capable
Already on record"Elevating Whistler." (the website) · professional, high standard, hotel-quality, consistent, flexible · and reliable, which Kirsty added and you both kept in round 2
Nevercheap or cheapest, hey guys and fam (you both) · squeaky clean and game-changer (Kelvin) · no job too small and hustle (Kirsty)

Puns on the name: never (Kirsty's answer; Kelvin chose it in round 2). Kirsty: "Our brand is not a joke."

Two things that keep the words accurate

Thirty years is background, not the headline. Kelvin, 14 October: "I don't think that's a significant point of value as it used to be in customer's minds." Lead with how easy Summit is to deal with instead. And quality before speed: nothing that suggests a rush. Kirsty: "quality above all else is important here."

WhereHow it sounds
Instagram postsStart from a problem an owner or manager knows, then how it is handled, as Kirsty put it: "focussing on the problems that owners and property managers encounter, and how we can help solve those". Then one plain next step. Two or three short sentences, one emoji at most, three to five hashtags. The Creekside caption Kelvin picked, agreed on 29 October: "This Creekside condo had guests out at 10 and new ones in at 4. Fresh linen, a full clean and a check of every room, and it was ready with time to spare. If your turnovers are getting tight this winter, give us a shout."
Instagram ReelsWords on screen, because most Reels are watched with the sound off, and a hook in the first two seconds (Kelvin, 14 October). Plain and confident, for example "Real price. No surprises."
WebsiteThe headline Kelvin picked, agreed on 29 October: "We do the turnovers. You do the powder days." with the line "Vacation rental and home cleaning across Whistler." under it. "Elevating Whistler." stays.
Replying to reviewsWarm and gracious, between the polished reply and the classic one, as you both chose in round 2. For example: "Thank you, Megan. Words like these mean a great deal to a local business, and we're glad the team made it easy for you. We'll be glad to look after your place again." Never the jokey one, which you both ruled out.
Texts and emails to ownersFacts first, then a clear next step. Kirsty's, which Kelvin chose in round 2: "Hi Tom, it's Summit. Your guests have asked to check out at 1 tomorrow, so we'll do the clean at 1:30 instead. It'll still be ready well before the 4 PM arrival. Does that work for you?" Never the jokey one, which you both ruled out.
Property managers, stratas and businessesThe same voice, a notch more formal. Lead with responsiveness and consistency, and the promise: "we are going to answer you every time".
Hiring postsWarm and straight: who you are looking for, what the work is like, and that Summit looks after its team (one of Kelvin's three values). Kelvin: "I want to attract the best staff and ideal customers through our online presence."

  • "Real price. No surprises." Kelvin, for the reels.
  • The promise. Kelvin: "we are going to answer you every time." Kirsty: "We give you peace of mind."
  • A story worth telling, Kirsty: a property manager's last-minute owner stay, ready for a 4 PM check-in. "We answered the phone call on the first ring, offered a solution, sent the team, delivered a high quality clean, updated the property manager when we were done."
  • A story worth telling, Kelvin: a new customer after a bad experience elsewhere, who "feels excited and relieved that they found a company that is actually going to care and show up for them".

9Photos, video and sound
From your answers
The lookHigh-end properties, real people doing real work (Kelvin), with the results the focus and the work clear enough that Summit could never be mistaken for a property manager (Kirsty).
The brand's own piecesThe logo from the file, never redrawn. The website's colours: dark teal #11384A, medium teal #185668, soft teal #52808E, pale blue-grey #C5D5D9, and white. The website's own heading and body fonts.
What photos showFinished rooms looking their best (you both), Whistler with the work in it (Kelvin), and the details: linen, amenities, the gear (Kirsty).
Showing the workHands on the detail work: a cloth on a counter, bed corners, a mirror. No spray bottles.
Who is on cameraThe team in uniform at work, natural and not posed, with faces not the focus: hands, name badges, backs, at a distance. Kelvin ticked local characters and businesses, the team, and just the work. Kirsty ticked just the work: "hands, name badges, uniform, people's backs. Anonymous but human".
ProofReviews that name the people who did the work (Kirsty), next to the pictures of it.
MusicUpbeat indie, or no music and just the real sounds (Kelvin's answer; Kirsty chose it in round 2 and Kelvin was happy with either list). Kelvin's notes add: warm and understated, confident and calm, and never ukulele, clapping or "corporate inspiration".
PaceA mix (Kelvin's answer, agreed on 29 October).
Kelvin's pick for a videoA morning with the team: coffee before the first unit, a wave across the Village, a Creekside condo put back together room by room, and the owner walking in to a fresh, quiet home. Laid-back acoustic guitar. (Kirsty marked it “could work” and did not pick a favourite.)
Brands you admireKelvin: Clean Perfect, a Whistler example of high-quality photos with words over them on Instagram, and BK Klean Builds and GUFS Group for brand authority built from a mix of post types, good websites and reviews to back them up. The local names he watches: Revolution Cleaning (strong on Google, a good website, well branded) and Perfection Whistler (great branding in town, in one high-end niche).
What changesKelvin: "Some light hearted captions in the social media, and more captivating visuals for website." Kirsty: "a little warmer and human, and have a more visual representation of what we do". Never: talking heads who should not be talking heads, or anything too salesy (Kelvin).

11For ChatGPT: copy and paste

Paste this at the start of a chat when writing anything for Summit Hospitality:

You are writing for Summit Hospitality Services, a locally operated, fully insured cleaning company in Whistler, BC, founded in 1996 and bought from the original owner in 2025, with over 300 clients across Whistler Village, Creekside, Upper Village and the Benchlands, from property owners and managers to businesses and commercial stratas. It puts the relationship with each client first. Vacation rental cleaning is the heart of the business: departure cleans, same-day turnovers, mid-stay cleans, a professional linen exchange so nothing is washed in the unit, guest amenities and arrival setup, and damage or maintenance reported as it is found. It also offers residential cleaning (weekly, bi-weekly and one-off cleans, deep cleans, pre-arrival cleans for second homes) and commercial cleaning (recurring cleaning for businesses, offices and customer-facing spaces on flexible schedules, and interior post-construction cleans). Every clean follows a written checklist and a 35-point inspection by the cleaner and an inspector. The inbox and phone are covered 7 days a week. Customers can price a clean on summithospitality.ca.

Who it is for: second-home owners who are often away, property managers, strata buildings, lodges and commercial businesses. Leave them reassured it will be handled properly and reminded it's time to book. Their worries: the clean not being up to standard, not knowing what is included, nobody turning up in time for the next guest, and guest damage not being reported in time.

Voice: friendly, not overfamiliar; premium, not pretentious; local, not small-time; proud of Whistler, not ski-town cliché; hospitable, not salesy; confident, not cocky; ambitious, not greedy. Leans serious and respectful about the work, and leans casual, excited and fresh in how it says it: friendly and down to earth, never generic, with a hook that stops the scroll. Polished and professional, and local in what it mentions: name the Whistler neighbourhoods, buildings and local spots (a building only where Summit cleans it and the client is happy for it to be shown), and local events and the seasons. Quality before speed: never suggest rushing. Who is talking: a mix, depending on the post. Lead with how easy Summit is to deal with, how it communicates and the peace of mind it gives; start from a problem owners or property managers know and show how it is handled. Light humour only now and then, never gimmicky or a cliché, and no puns on the Summit name. One emoji at most, ideally one for the season or Whistler. End with one plain next step. Do not lead with "30 years".

Values: doing the job properly, looking after the team, hospitality (making it easy), turning up when we say we will, and care for the property.
Review replies: warm and gracious, for example "Thank you, Megan. Words like these mean a great deal to a local business, and we're glad the team made it easy for you. We'll be glad to look after your place again."

Music in videos: upbeat indie, or no music and just the real sounds.

Use words like: guest-ready, reliable, local, team, hospitality, on time, sorted, honest, spotless, quality, friendly, capable, consistent, professional, hotel-quality.
Never use: cheap, cheapest, "hey guys", "fam", "squeaky clean", "game-changer", "no job too small", "hustle". Never invent prices, services, dates or details, and never describe an image you have not been given.
